Creating a Unified Communication Strategy for Your Church

Church announcements are one of the primary ways your church office communicates to its members—whether you’re making an announcement in-person during a worship service or via email. But it can sometimes be difficult to get your message out from your office to your congregation.

Church Communication Strategy

You don’t need a dedicated communications staff member to have a solid church communication strategy. All you need is a few solid guidelines to help you stay on track and ensure all of your communications are read by the right people at the right time!

Segmented Communications

The first way to improve your communications flow at your church is to set up email list segmentations. This isn’t as difficult as it sounds, especially if you use a church management software to send your emails.

Email segmentations are categories of people you want to send dedicated emails to, such as parents of high school youth, members of a specific small group, or official members of your church.

This allows you to send emails only to the people who really need to read them, which can increase your email open rate and prevent people from deleting your emails without reading them.

Consider the Format

Another way to streamline your church communication strategy is to consider the format of your communications. There are so many ways to communicate with your members. You need to be strategic when choosing the correct format for a specific purpose.

Whether you choose to communicate via email, SMS, or in-person announcements, you should have a strategy in place to ensure you’re neither overcommunicating nor undercommunicating information about your events.

Consider the Frequency

Lastly, you’ll want to consider the frequency at which you send all of your communications. This may differ between different types of announcements! You may want to announce a new sermon series only twice before it happens, but you may want to announce a volunteer opportunity four times before the event.

You want to ensure that you communicate enough that your message stays top of mind with your members, but you also do not want to send so many communications and cause members to begin to tune out all of your announcements.

New Member Onboarding

As you welcome new members into your congregation, it’s important to consider how you want to integrate them into the life of your church. Maybe you haven’t considered this before outside of your membership class. That’s okay!

Your new member onboarding email workflow will look different compared to other churches because it’s specific to your church! We recommend sending one email every five or so days to space them out. Be sure to skip over days when you’re sending emails to everyone in your congregation so that they don’t receive two emails in one day!

Once someone officially becomes a member, you can enroll him or her in a specific email workflow that lets him or her know more about your church. You might let him or her know about the next steps to take, such as signing up for a small group or scheduling a meeting with your pastor. You can also send out an email in this workflow, letting him or her know all about what your congregation has going on regularly, such as weekly Bible studies, youth group activities, and service opportunities.

Announcements

You likely already use an email management software to share announcements with your members, but you need to ensure that you have a solid strategy in place to avoid overcommunicating or undercommunicating information about events.

Your strategy will be unique to your church, but many churches only start advertising events four weeks out from the event date. If you send information about the event before that, people will forget about the event before it happens!

Part of your church communication strategy should include an announcement plan, which outlines everything you need to market an event, such as the following:

  • Event title
  • Event date
  • Event description (who it’s for, why they should come, etc.)
  • Word count for event description
  • Announcement start date
  • Creative assets (announcement slides, email headers, social media posts, etc.)
  • Registration sign-ups

Event Reminders

One of the primary benefits of a streamlined communications strategy is that you can schedule certain tasks in advance to relieve administrative burden on your team. One of the primary ways churches use software to do this is by scheduling event reminders to those who have registered.

If you use a church management software or event registration platform, you can set up custom workflows to send reminders of upcoming events at a certain cadence. For example, you can send out a reminder one week before the event, and then again 24 hours before the event.

Pastoral Updates

Your pastor will likely want to send out a special update to the congregation. This might happen on a regular basis (such as a monthly pastoral report via email), or on an ad hoc basis (such as an important, timely update via voice message).

Whatever workflow your church decides on for updates like this, it’s important to go about it strategically. To avoid sending too many emails, consider consolidating your pastoral update into your weekly email newsletter. Or only send it out as needed to make sure it’s actually read by your members.
