Projects: Plan and Collaborate More Effectively
Organize Work in One Place
The new Projects tool gives you a central place to organize ministry efforts—whether you’re coordinating an event, managing follow-up, or simply keeping your own to-do list in one place.
With Projects, you can
- create and define projects with names, descriptions, and due dates;
- collaborate with others by adding participants;
- assign and schedule tasks within each project;
- track progress at a glance by checking off completed items;
- set recurring tasks for ongoing responsibilities; and
- archive or delete projects once work is complete.
Projects can be shared with your team or kept private—making them just as useful for personal task management as for group collaboration.
See Your Work at a Glance

The Projects view gives you a quick, visual overview of everything you’re involved in.
Each project appears as a card showing
- project name, description, and status;
- due date or deadline;
- participants on the project; and
- up to five tasks for quick reference.
You can easily sort projects by name, creation date, or deadline—helping you prioritize what needs attention first.
Manage Details and Progress
Click into any project to open the Project Detail view, where you’ll find the full picture.
From here, you can
- view the complete list of tasks and their progress;
- see deadlines and project status;
- manage participants and roles;
- enable notifications to stay informed; and
-
edit project details or update timelines.
This view makes it easy to move from high-level planning to day-to-day execution without losing context.
Assign Roles and Collaborate Clearly
Projects support flexible collaboration with defined participant roles:- Creators and Managers can build, edit, and assign work.
- Contributors can complete tasks and add comments.
- Observers can stay informed without making changes.
You can also control visibility—keeping projects private or opening them to your team as needed.
Tasks: Manage Work with Greater Clarity
Add, Assign, and Complete Tasks
Tasks are at the center of every project, and this update gives you greater control over how they’re created and completed.
You can
- add tasks quickly from either the Projects view or Project Details;
- assign tasks to participants for clear ownership;
- set due dates and priorities;
- create recurring tasks for ongoing work; and
-
mark tasks complete to track progress.
Tasks can also be organized sequentially, helping your team work through steps in order when needed.
Customize Task Details and Scheduling
Each task includes a Task detail view, giving you more control over how work is tracked.
Within each task, you can
- add descriptions and context;
- assign participants and set priorities;
- attach files or link Church360° records; and
- create recurring schedules (e.g., weekly or monthly tasks).
This added detail helps ensure that everyone knows what needs to be done and when.
Track Communication and Activity
Tasks also provide space for ongoing communication and updates.
You can
- add and manage comments directly within a task;
- view task ownership, deadlines, and history; and
-
keep related notes and updates in one place.
This keeps conversations tied to the work itself—reducing the need for separate emails or messages.
Stay on Top of What Matters
With built-in notification options, you can stay informed without constantly checking for updates. Choose to be notified when
- tasks are created;
- tasks are completed;
- tasks are assigned to you; or
- assigned tasks are approaching their due date.
These alerts help your team stay proactive and avoid missed deadlines.
Improvements to Forms
Create Standalone Forms
When Event Forms were introduced in 2025, they made it easier to manage sign-ups tied to specific events.
Now simply called Forms, this feature has been expanded to give you more flexibility in how you collect information and engage your congregation.
Forms are no longer limited to events or calendars. When creating a form, you can now choose the scope that best fits your needs.
- No connection is necessary for standalone forms like surveys or general sign-ups.
- Event-based forms are for registrations tied to specific events.

Calendar-based forms are for ongoing or recurring needs.
This added flexibility allows you to use Forms for more than just event registration—opening the door for surveys, volunteer sign-ups, interest forms, and more.
Creating a form is simple, and, with everything built directly into Church360° Members, you can manage responses without relying on outside tools.
